About the role

We are recruiting for a Flight Crew Licensing Coordinator, to be based in Doha, Qatar.
You will be responsible for coordinating and assisting the Flight Crew Licensing team in processing Flight Deck Crew licenses and certificates.

As part of your role, your responsibilities will be inclusive of, but not limited to the following:

• Ensure timely handover of newly issued licenses from the Qatar Civil Aviation Authority to pilots, maintaining communication to prevent any disruption to flight rosters.
• Maintain accurate records of license and certificate applications submitted to the Qatar Civil Aviation Authority by updating the License Application Tracker in the department’s SharePoint. Ensure all submissions are logged in a centralised database, monitor the status of new licenses, and store all relevant documentation with essential reference data.
• Adhere to all procedures outlined in the Flight Crew Licensing Manual when preparing and submitting license applications to the Qatar Civil Aviation Authority, ensuring full compliance with established processes.
• Prepare and support the issuance of Flight Deck Crew Course Completion Certificates using standardised templates stored in the Licensing SharePoint folder, ensuring validation by Training Management prior to release.
• Submit Aviation English Language Proficiency applications to the Qatar Civil Aviation Authority and ensure timely revalidation prior to the expiry date.
• Distribute copies of Flight Deck Crew licenses and certificates issued by the Qatar Civil Aviation Authority via email to relevant internal teams for record updates.
• Act as deputy for the Flight Crew Licensing Officer during absences, ensuring continuity of daily licensing operations and routine tasks.
• Ensure to complete assigned tasks i.e., formatting process maps, updating database tracker etc. for routine operational purpose.
• Perform additional duties related to the position as assigned by the Head of the Department.
