- Conduct legal research and prepare first drafts of internal notes, chronologies, issue summaries, and routine correspondence (including counsel instructions), escalating legal risk points promptly.
- Assist with document production and evidence management including collection, indexing, and organisation of pleadings, exhibits, witness materials, and disclosure/discovery sets in line with applicable procedural rules and internal retention standards.
- Coordinate with internal clients and cross-functional stakeholders (e.g., HR, Finance, Customer Care, Safety, Compliance, Procurement, Operations) to gather facts, obtain documents, align on strategy inputs, and communicate next steps and timelines.
- Manage external counsel administration including engagement set-up support, collation of required information for instructions, scheduling calls/meetings, and maintaining an accurate log of advice, deliverables, and action items.
- Handle invoicing and budget support by reviewing counsel invoices for accuracy against engagement terms/rates, ensuring appropriate matter coding and approvals, tracking spend versus budget, and escalating variances or non-compliant charges.
- Prepare recurring reports and dashboards for the litigation portfolio (status, outcomes, exposure, upcoming hearings, spend, and key risks), ensuring data integrity in trackers/case management tools and providing concise summaries for stakeholders.
- Contribute to policy, SOP, and template upkeep by updating playbooks, checklists, matter intake forms, and standard templates (e.g., hold notices, document requests, instruction letters) to reflect process improvements and lessons learned.
